For participants, packet pick-up is the first real taste of event day energy. For event directors, it’s where things can get messy fast. That’s why giving your volunteers the right tools is key to keeping the experience smooth.
Meet the Event Day Check-In Tool
The Event Day Check-In tool provides real-time access to participant data, allowing you to check in registered participants, manage merchandise pickups, assign bib numbers, and even register new participants on event day. Because it’s connected to live event data, you’ll want to make sure your packet pick-up station has WiFi or cell service available.
Setting Up Volunteer Access
Under the Admin tab, toggle “Allow Volunteer Access”. Share this link with your volunteer crew, and they’ll be able to check in participants without needing full admin access. You can set or revoke access at any time, so you stay in control.
What Volunteers Can Do
With the Volunteer tab, your crew can:
- Check in registered participants in real time.

Safety Tip: Marking Participants “Finished”
If your event doesn’t use official timing, you can enable a “Finished” button in the Admin tab. Volunteers can click this when participants cross the line, helping you keep track of who returned safely. It’s not part of the packet pick-up process — instead, think of it as your event finisher headcount.
